Using AI to write follow-ups, safely
AI can save you time drafting follow-ups, quote reminders and review replies, but it can also get a name, a price or a promise wrong. The safe way is simple: give it your real job details, let it draft, and have a person read every message before it is sent. Here is how, with tools we list.
Steps
- Let AI draft, and keep a person on send. Use AI to write the first draft, then read it before it goes out. Jobber frames its auto-drafted quotes this way ("just review and hit send"). For automatic follow-ups that run without you, write and approve the template once yourself, and let the software fill in only the customer name, job and link.
- Feed it your facts, not its guesses. Paste in the real details: customer name, what you did, the quote amount, dates and your next step. Tell it not to add anything else. Jasper (Brand Voices and Knowledge assets on Pro) and Copy.ai (Brand Voice) let you save your tone and business facts so every draft starts from them.
- Check five things before you send. Read every draft for the right name, the right price, the right date or time, any promise you did not make (discounts, warranties, "same day"), and anything that sounds unlike you. If one is wrong, fix it by hand rather than asking for a rewrite and hoping.
- Keep private details out of general AI chats. Do not paste card numbers, gate or lock codes, or more personal customer information than the message needs into a general writing tool. Check the tool's own privacy and data terms before you put customer details in.
- Read AI review replies before they post. Podium lists an AI Employee that writes review invites and replies, and GatherUp lists AI-crafted review replies. Read each reply first, especially on unhappy reviews, so it never admits fault, shares job details or promises a refund you did not decide on.
- Stay inside the email and text rules. Marketing emails need a working unsubscribe link, and texts should go only to customers who agreed to hear from you. Check the rules that apply where you work before you turn on any automatic sends, then test every message on your own phone and email first.
