How to hire help fast

Write one clear job post, send it to many job boards at once, make it easy to apply from a phone, screen with a few must-have questions, let applicants book their own interview time, and get the new-hire paperwork done before day one. Here is how to set it up with hiring tools we list.

Steps

  1. Write the job down before you post it. Spell out the hours, the pay, where the work is, the must-have skills and what a normal day looks like. You can draft it with an AI tool, such as the job-posting prompts in our prompt library or Manatal's AI-generated job descriptions, but read and edit every line yourself and check the pay and wording against your local labor rules before it goes live.
  2. Post once, send it to many job boards. Use a tool that pushes one post out to many boards instead of posting site by site. Breezy HR lists 50+ job boards even on its free plan, Workable lists 200+, Workstream lists 25,000+ plus unlimited Indeed listings, and JazzHR lists free job boards. Paid boosts, like Homebase job post boosts from $50/post, are optional.
  3. Make it easy to apply from a phone. Many hourly and trade applicants apply from their phones, so keep the form short. Workstream lists text-to-apply, Workable lists mobile-friendly applications and Indeed Easy Apply, and Breezy HR lists a mobile-friendly career site.
  4. Screen with a few must-have questions. Ask two or three yes-or-no questions up front, such as a driver's license, weekend availability or a required certification, so you only call people who fit. Breezy HR lists candidate questionnaires on Startup, JazzHR lists knockout questions, and Workstream lists VoiceAI and VideoAI screening.
  5. Check any AI ranking yourself. Some tools score or rank applicants for you: Manatal lists automatic AI scoring, JazzHR Plus lists AI-powered candidate matching, and Breezy HR and Workable sell AI credits for evaluation. Treat a score as a starting point, look at the applicants yourself, and never turn someone down on the score alone. You are responsible for fair hiring decisions.
  6. Let applicants book their own interview. Send a link where the applicant picks a time that syncs with your calendar, instead of trading texts. Workable lists self-scheduled interviews and two-way calendar sync with Gmail and Office 365, Breezy HR lists automations that schedule interviews, JazzHR lists Google Calendar and Outlook sync, and Workstream lists interview scheduling.
  7. Reply to every applicant fast. People who apply to several jobs often take the first good offer, so answer quickly, even with a short "thanks, here is what happens next". JazzHR lists email templates, Workstream lists applicant messaging, and texting is an add-on on Breezy HR (from $41/mo) and Workable ($89/mo).
  8. Get the paperwork done before day one. Send tax and hiring forms to sign on a phone before the first shift, so day one is work, not paperwork. Homebase All-in-One lists W-4, W-9, I-9 and direct deposit forms, Workstream Essentials lists W-4, I-9 and E-Verify, and Breezy HR sells Onboard from $49/mo. If you run background checks, Homebase lists them at $30 each and Breezy HR Startup lists background screening integrations. Then add the new hire to your schedule; our how to schedule a crew page covers that.
