Qualify leads before you call back

Ask the same few questions every time, before you call back: what the job is, where it is, when they need it and roughly what they expect to spend. A request form on your site, a website chat and an AI phone answerer can all collect those answers and send them to you, so you spend your time on the jobs worth having. Here is how to set it up with tools we list.

Steps

  1. Write down what makes a lead worth your time. Pick four or five questions you always ask anyway: type of job, address or ZIP, how soon they need it, rough budget, and whether they own the property. Decide which answers mean "call back today", "send a booking link" or "politely pass" (for example, outside your service area).
  2. Put those questions on your request form. Jobber lists custom request forms you can share on your website, social media or client hub. Make the key questions required and keep the form short, since every extra field means fewer people finish it.
  3. Ask the same questions in website chat. Rosie includes website chat and lead capture at no added cost, and Tidio has a Free plan where Flows can collect a quote request. Have the chat ask your questions and collect a name and phone number before it hands off to you.
  4. Have your phone answerer ask them too. Smith.ai lists lead qualification and call routing, Upfirst lists lead qualification and call screening, and Dialzara includes message taking with custom questions on every plan. Give it your questions and tell it which callers to transfer to you right away and which to just take a message from.
  5. Filter out spam before it reaches you. Rosie screens 1-800s, robocalls and sales reps, and Upfirst lists AI spam blocking. That keeps junk calls out of your lead list.
  6. Send the answers to one place and review them. Get every summary where you already work, such as your job software or by text, and use Upfirst's Zapier integration or Smith.ai's integrations when you need to move details into a CRM. Each week, compare which leads turned into jobs and adjust your questions. Test your form, chat and phone line yourself first; Smith.ai's Quality Studio is built for that.
