Speed to lead: reply to new leads in minutes
Set up an automatic first reply for every way a lead can reach you: calls, missed calls, texts, website chat and request forms. The reply says you got their message and what happens next, and you get the details right away so you can follow up. Here is how to set it up with tools we list. We don't quote response-time statistics here because we haven't found a source we trust; the goal is simply to make sure no lead waits on you.
Steps
- List every way a lead reaches you. Write down each door: your phone, texts, your website form, website chat, Google and social messages. Each one needs an automatic first reply, so nobody waits in silence.
- Turn on missed-call and text auto-replies. Quo lists auto-replies that answer texts, missed calls and voicemails with a message you write. Say who you are, that you got their message, and when you will call back, plus a booking link if you use one.
- Let an AI receptionist pick up when you can't. Upfirst can answer every call, only overflow, or only after hours. Rosie answers 24/7 and books appointments, Quo lists its Sona AI agent, and Jobber lists Receptionist for call or text. Teach it your services, service area and the questions to ask.
- Answer website visitors right away. Rosie includes a website chat widget, and Tidio has a Free plan whose Flows can collect a quote request. Have the chat take the name, phone number and job details so you can follow up.
- Send form leads an instant confirmation. Point your website form at your job software (Jobber lists shareable request forms) and set up an automatic thank-you that says what happens next. Jobber lists a custom automation builder for client messages. Our Answers guide "Welcome emails for new leads" covers what to write.
- Get notified the moment a lead comes in. Upfirst texts or emails a call summary as soon as the call ends, and Rosie sends notifications by email, text and app. Call the good ones back yourself as soon as you can.
- Test it yourself every month. Call your number when you can't pick up, send a text, fill in your form and use your chat. Check what each lead actually receives and how fast you heard about it, then fix what is slow or unclear.
