Snow invoicing: a full month out in one email

How my snow removal company gets monthly invoices out to a property manager without retyping.

The problem

Every month we invoice a property manager for several properties. Doing it by hand was slow and easy to get wrong.

The setup

1. The billing bot builds each property's invoice from the contract.
↓
2. My assistant checks the invoices.
↓
3. I review them and say "send."
↓
4. A full month of invoices goes out in one email.
  • The bot drafts. Nothing goes out until I say send.
  • The invoice comes from the contract, so no one retypes the terms.

The result

A full month's invoices went out in one email, on time, with no retyping.

What I'd tell another owner

  • Build invoices from the contract, not from memory.
  • Put a check step between the bot and the send.
  • Keep the final send with the owner.
