Connect Kickserv to QuickBooks Desktop

Turn on Kickserv's QuickBooks Desktop add-on, install the Kickserv file in the QuickBooks Web Connector, then run the first sync and check Sync History. Kickserv lists the Desktop sync as a paid add-on: $50/month or $480/year. Steps checked against the vendor's help articles on 2026-11-04 (article last updated 2024-12-11).

We built this guide from Kickserv Help: Connect to QuickBooks Desktop and Kickserv Help: I'm getting a QuickBooks sync error. We haven't run this setup in our own business yet, so follow the vendor's article if anything on screen looks different.

What you need

  • The QuickBooks Desktop add-on turned on in your Kickserv account. Kickserv says the cost to keep a sync to QuickBooks Desktop is $50/month or $480/year
  • Your QuickBooks Desktop company file, opened with the administrator login, in single-user mode for the first sync
  • A QuickBooks company file name that is exactly the same as your Kickserv company name

Steps

  1. Open the QuickBooks settings in Kickserv. After the add-on is on, go to Settings, then Integrations. Select the QuickBooks tab, click Take me there, then pick QuickBooks Desktop Integration. On a trial account, choose Save and continue my trial.
  2. Get QuickBooks ready. Log in to your QuickBooks company file as the administrator, switch to single-user mode for the first sync, and double check that the company file name exactly matches your Kickserv company name.
  3. Install the Kickserv file in the Web Connector. Back in Kickserv, go to Settings → Integrations → QuickBooks. Under Step 1, click the QWC file to add the Kickserv application to your QuickBooks Web Connector.
  4. Allow access to the company file. When asked to authorize Kickserv, click OK. When asked whether to let the application read and change the company file, choose Yes, whenever this QuickBooks company file is open, click Continue, then Done.
  5. Enter the password and run the sync. Under Step 2, type the password shown on Kickserv's QuickBooks integration page into the Web Connector and click Yes to save it. Tick the box next to the Kickserv application and click Update Selected. The sync now runs and the progress bar updates as it goes.
  6. Check Sync History. When it finishes, click QuickBooks in the Kickserv sidebar and open the Sync History tab to confirm the sync worked. Kickserv says some first syncs take 20 to 30 minutes, especially for older, larger QuickBooks files.

Limits to know

  • This guide covers QuickBooks Desktop only. Kickserv says it syncs with both QuickBooks Desktop and QuickBooks Online, but its help center had no QuickBooks Online setup article when we checked (2026-11-04), so QuickBooks Online is not covered here.
  • The Desktop sync is a paid add-on: $50/month or $480/year, per Kickserv's help article.
  • If you add an online payment fee to invoices, the fee does not sync to QuickBooks Desktop. Kickserv warns this shows as an overpayment and can leave a negative balance or credit on the invoice in QuickBooks, which can interrupt the sync.
  • Kickserv says most QuickBooks errors happen at the first sync, when customers come over. Phone numbers with letters in them and more than one email address in one field cause errors, because Kickserv allows neither.
  • If an item was changed in QuickBooks after it was used on a job, a red error shows on the invoice naming the invalid items. Move the invoice to waiting approval, then edit and re-add those items before syncing again.

For sync errors, Kickserv suggests running an "empty sync" often (remove all invoices from the Ready To Sync queue and sync with none, which keeps items and taxes up to date) and, for "customer name already in use" errors, temporarily making QuickBooks the master under Settings → Integrations → QuickBooks. Kickserv support can also help.
