Connect Markate to QuickBooks Online

Connect Markate to QuickBooks Online from the Connectors page, pull your existing QuickBooks customers, invoices, expenses and estimates in, then send Markate records to QuickBooks by hand or automatically. Markate says the connector comes with the membership at no extra fee. Steps checked against the vendor's help articles on 2026-11-03 (article last updated 2025-04-25).

We built this guide from Markate Academy: How to Connect Markate and QuickBooks? and Markate Academy: QuickBooks Integration FAQs. We haven't run this setup in our own business yet, so follow the vendor's article if anything on screen looks different.

What you need

 • A Markate account you can sign in to on desktop. Markate says all QuickBooks settings are set up and managed on desktop; the mobile app only syncs based on those settings
 • A QuickBooks Online account you can sign in to (Markate supports QuickBooks Online) and an active QuickBooks Online subscription
 • Tax rates set exactly the same in Markate and QuickBooks Online, per Markate's "Exporting data from Markate to QuickBooks Online" article, or invoices, expenses and estimates may not sync

Steps

 1. Open the QuickBooks connector. In Markate, hover over More, click Connectors, then go to QuickBooks and click Manage.
 2. Connect and sign in. Click Connect to QuickBooks. Markate takes you to the QuickBooks login page; sign in, and you are sent back to Markate to continue with QuickBooks settings. Click QuickBooks in the left panel to see that the two are connected.
 3. Import your QuickBooks data. In the Import section, tick what you want to bring in (customers, invoices, expenses, estimates), then click Sync with QuickBooks. Click View Sync Log to check what came in.
 4. Send Markate data to QuickBooks. In the Export section, tick what to send. To leave out partly paid or deposit invoices, tick Ignore Partial Paid Invoices (deposit). Click Sync with QuickBooks. Markate says syncing all data might take up to 5 to 10 minutes and emails you when it is done.
 5. Choose how updates and new records go over. Under QuickBooks → Settings, tick Export Updates to QuickBooks so manual syncs overwrite QuickBooks records with your Markate changes. In Auto Export to QuickBooks, tick the record types to send automatically whenever you create or update them. Tick Export draft invoices if drafts should go too. Click Save Changes.
 6. Check the sync log. Go to More → Connectors → QuickBooks → Manage → View Sync Log. The Errors tab lists problems with a Resource ID you can use to find the record in QuickBooks Online.

Limits to know

 • After the first import, records go one way, Markate to QuickBooks Online. Deleting an item in Markate does not delete it in QuickBooks.
 • Markate says that if you keep using QuickBooks, Auto Sync should only be turned on for exported items.
 • A manual export sends every record of that type that has not synced yet. You can't pick a date range.
 • With Export Updates on, Markate changes overwrite the matching QuickBooks records on each manual sync.
 • A "Connection expired" error means the QuickBooks session ran out: reconnect from More → Connectors → QuickBooks → Manage → Reconnect. Tax codes must match QuickBooks exactly (case-sensitive), and Markate and the QuickBooks company must use the same currency.
 • QuickBooks needs item categories for what Markate sends: per Markate, add Services as type Service, and Materials and Products as type Non-inventory.

Markate Academy also has articles on importing data from QuickBooks Online, QuickBooks sync errors and QuickBooks Payroll. To disconnect, click Disconnect on the QuickBooks page in Markate.
