See your ServiceM8 schedule in Google Calendar

Show each staff member's ServiceM8 jobs in Google Calendar (view only), and bring Google Calendar busy time onto the ServiceM8 Dispatch Board. Two built-in add-ons, set up per staff member. Steps checked against the vendor's help articles on 2026-10-26 (the help center shows no last-updated date).

We built this guide from ServiceM8 Help Center: How do I see my ServiceM8 schedule in Google Calendar? and ServiceM8 Help Center: How to use the Calendar Import Add-on. We haven't run this setup in our own business yet, so follow the vendor's article if anything on screen looks different.

What you need

  • A ServiceM8 account with access to Settings > ServiceM8 Add-ons (to switch on External Calendars and Calendar Import) and Settings > Staff
  • A Google account with Google Calendar, opened on a computer (ServiceM8's steps use Google Calendar on a computer)

Steps

  1. Turn on External Calendars. In ServiceM8, go to Settings > ServiceM8 Add-ons and activate External Calendars. Once it is active, click Settings and copy the calendar URL. Each staff member has their own calendar URL.
  2. Add the ServiceM8 schedule to Google Calendar. Open Google Calendar, click Add Other Calendars, select From URL, paste the URL you copied and click Add calendar. Jobs scheduled to that staff member appear in Google Calendar within a few minutes. Repeat for each staff member's schedule you want to see.
  3. Turn on Calendar Import. To go the other way, go to Settings > ServiceM8 Add-ons, find Calendar Import and switch it on.
  4. Copy the Google Calendar iCal link. In Google Calendar on a computer, open the calendar's Options and click Settings and sharing. Under Access permissions, tick Make available to public, then under Integrate calendar copy the iCal link.
  5. Paste it into the staff member's profile. Back in ServiceM8, go to Settings > Staff, select the staff member on the Staff Members tab and click Edit. Click Options, paste the iCal link into Import Free/Busy Time from Calendar URL and click Save Changes. Their external calendar now shows on the Dispatch Board.

Limits to know

  • Google Calendar only shows the ServiceM8 schedule; you can't change it there. Make changes on the ServiceM8 Dispatch Board or in the ServiceM8 mobile app.
  • The Google Calendar copy is kept in sync but not in real time, so recent scheduling changes may take time to show.
  • Each staff member has their own calendar URL and their own import link, so both parts are repeated per person.
  • Imported Google busy time marks the staff member as Busy on the Dispatch Board and is taken into account by Booking Suggestions.
  • Imported calendars update every 15 minutes, and syncs cover 90 days forward and 30 days back.
  • The import step uses the Google calendar's public access setting, as ServiceM8's article describes.

Using Office 365 instead of Google? ServiceM8's Calendar Import article says the iCal link is found in the settings of the calendar you use, such as Google or Office 365.
