Sync Vagaro with Google Calendar

Connect a staff member's Vagaro calendar to Google Calendar for two-way sync of appointments, classes and personal tasks. Steps checked against the vendor's help article on 2026-10-29 (article last updated 2026-06-29).

We built this guide from Vagaro Support: Sync Vagaro with Google Calendar. We haven't run this setup in our own business yet, so follow the vendor's article if anything on screen looks different.

What you need

  • A Vagaro business (the article says the feature is available for all Vagaro businesses with a Google Calendar account)
  • A Google account; you can link that Google Calendar with only one Vagaro business at a time
  • Access to Settings → Employee Profiles for the staff member you want to sync

Steps

  1. Open employee integrations. On a computer, tablet, Pay Desk or PayPro: go to Settings → Employee Profiles. Next to the employee's profile, select Action → Integrations. (On a phone: More → Settings → Employee Profiles, open the employee, then Action → Integrations next to the business name. If multi-location is on, pick the location first.)
  2. Start Google Calendar sync. Under Sync Calendar, select Sync Google Calendar.
  3. Sign in and pick a calendar. Sign in with Google and give Vagaro access. When the Connect Calendar popup appears, choose the Google Calendar you want to sync (only one calendar can be shared at a time).
  4. Choose sync options. Check the options you want: Import past events from Google calendar (pick a Starting From date; max three years back), Sync Vagaro to Google Calendar, Sync Google Calendar to Vagaro, and optionally Make imported Google events private to other employees.
  5. Connect. Select Connect Calendar. The article says the calendars then show Syncing in Progress for a few moments.

Limits to know

  • Vagaro currently supports calendar syncing only with Google Calendar. Older Outlook or Apple Calendar connections keep working until you disconnect them; once disconnected, they cannot be reconnected.
  • You can link a Google Calendar with only one Vagaro business at a time, and only one Google calendar can be shared at a time.
  • Vagaro → Google: personal tasks, appointments and class sessions become Google events; changes to those Google events do not sync back to Vagaro. Repeating appointments repeat in Google. Customer profiles are not added as Guests. Blocked-off times go over as busy; personal tasks that do not block bookings go over as free.
  • Google → Vagaro: Google events become Personal Tasks and stay in sync until you convert them to a service or class. Repeating events repeat. Busy blocks booking; free allows booking. Guest emails come over when you convert a Personal Task.
  • If you disconnect, turn off syncing, or reassign the calendar, all Google events are removed from Vagaro unless they were converted to a service or class.
  • After convert, changes on the Google event no longer sync back to Vagaro. Class converts with attendees need each attendee added manually (emails land in class notes).
  • The article's comments say you can only sync one email at a time, and currently you can only sync an employee's calendar with Google (not resource calendars).

Vagaro's help section "Export and Sync Your Calendar" also covers exporting a .ics file and older Apple/Outlook sync articles; this recipe follows only the Google Calendar two-way article.
