How to answer calls while on a job

Let an answering tool pick up the calls you can't take, filter out spam, ask the caller the right questions, put through only the urgent ones, and text you a summary to read between jobs. Here is how to set it up with phone tools we list.

Steps

  1. Decide when a call should reach you. Pick the calls you still want to take yourself, like existing customers or emergencies. Everything else can go to the answering tool. Overflow is a good start: your phone rings first, and the tool picks up only when you don't. Upfirst lets you choose every call, overflow only, or after hours.
  2. Forward the calls you miss to the tool. Set your phone to forward unanswered calls to the tool so you keep your number. Goodcall says you can keep your existing number by forwarding it. Call your own number from another phone while you're busy to make sure it works.
  3. Keep spam from interrupting you. Rosie lists filtering of spam and sales calls, and Smith.ai says it blocks known spam numbers before its AI answers. Fewer junk calls means fewer times you stop work to check your phone.
  4. Give it the questions you would ask. Write down what you need from each caller: name, address, what's wrong, how urgent, and the best time to call back. Rosie lists message taking that asks different questions depending on why they called, and Dialzara lists message taking with custom questions.
  5. Only put through the calls that can't wait. Tell the tool which calls to transfer to you, and keep that list short, such as a leak or no heat. Rosie and Upfirst list warm transfers to you or your team; Dialzara lists blind transfers on every plan and warm transfers above Business Lite; Goodcall lets you choose who receives transfers; Smith.ai can hand complex calls to a live receptionist.
  6. Read the summaries between jobs. Have every call summary texted or emailed to you so you can see who called without listening to voicemail. Rosie, Upfirst and Dialzara list notifications after each call; Quo lists AI call summaries. Check them at a set time, like lunch and the end of the day.
  7. Call back at set times and tune it weekly. Return calls in the order of urgency, and tell callers when to expect you. Once a week, read a few call summaries, fix wrong answers in the tool's instructions, and add questions it couldn't handle. Try one with your own number before you pay; see each tool's listing for trials.
