Email follow-up on autopilot

Set your job software to send follow-up emails (and texts) automatically when a customer hasn't answered a quote or paid an invoice, so leads don't go cold while you're busy. Here is how to set it up with tools we list.

Steps

  1. Pick what to follow up on. Start with the two that cost you the most: quotes the customer never answered, and invoices that are past due. New-lead welcome emails come next.
  2. Turn on the follow-up in your job software. If you already use job software, look there first. Jobber (Connect plan and up) and ServiceM8 (all plans) both list automatic quote and payment follow-ups by email or text. Markate lists an email drip campaign for leads, and Housecall Pro lists automated follow-ups in its Pipeline tool.
  3. Set the timing. Choose when each message goes out after the quote or invoice is sent, and stop after two or three tries. Pick a schedule you would be comfortable getting yourself; there is no proven perfect gap.
  4. Write short, plain messages. Say who you are, what the quote or invoice was for, and the one thing to do next: approve the quote, book a time or pay the link. Add your name and phone number so they can just call.
  5. Make sure it stops when they answer. Test that the follow-ups stop once a customer approves a quote or pays. Send a test quote to your own email to see exactly what customers get.
  6. Check the results every month. Look at which quotes got approved after a follow-up and which went quiet. Change the wording or timing on one message at a time.
