Welcome emails for new leads

Send every new lead the same short, helpful welcome emails automatically: a quick thank-you right away, then one or two useful follow-ups until they book or say no. Here is how to set it up with tools we list.

Steps

  1. Send every lead to one place. Point your website form, online booking page and social links at your job software so each new lead lands in one list. Jobber has shareable request forms, Markate has a website booking form, and ServiceM8 and Housecall Pro list online booking.
  2. Write the first email: a fast thank-you. Thank them, say what happens next and when they will hear from you, and give your name and phone number. Keep it to a few lines. Set it to go out automatically as soon as the lead comes in.
  3. Add one or two helpful follow-ups. A second email a few days later can answer the questions people usually ask before hiring you: how pricing works, what areas you cover and how to book. Stop after two or three emails in total. There is no proven perfect gap, so pick timing you would be fine receiving.
  4. Turn on the sequence in your tool. Markate lists an automated email drip campaign for leads. Jobber lists a custom automation builder and syncs leads to Mailchimp. ServiceM8 syncs clients to Mailchimp. Housecall Pro lists automated lead follow-ups in Pipeline. If your tool syncs to Mailchimp, the welcome emails can be built there.
  5. Stop the emails once they book. Check that a lead who books or gets a quote stops getting welcome emails and moves to your quote follow-ups instead. Fill in your own form as a test lead to see exactly what arrives.
  6. Review it every month. Look at which leads booked and which went quiet, and change one email at a time.
