Quote follow-up emails that run themselves
Most quotes that go quiet just need a polite nudge. Here is a simple day 1, day 3 and day 7 template you can copy, and how to make it send itself in job software we list. The schedule is a starting template, not a proven formula.
Steps
- Day 1: check they got it. The day after you send the quote, send a short note: confirm they received it, restate what it covers in one line, and invite questions. Include the link to approve and your phone number.
- Day 3: answer the usual question. A few days later, answer the thing people most often ask before saying yes, such as timing, what is included or payment options. If your tool can send more than one option (ServiceM8 lists Quote Options), mention that a smaller version is possible.
- Day 7: a friendly last check. About a week in, ask plainly whether they want to go ahead, need changes, or have decided not to. Make it easy to say no. Then stop; more than three messages usually feels like pressure.
- Turn it on in your job software. Jobber (Connect plan and up) lists automatic email or text follow-ups on unanswered quotes. ServiceM8 lists Quote Follow-up on all plans. Markate lists automated follow-ups, and Housecall Pro lists automated follow-ups in Pipeline. Set the timing in the tool to match your template.
- Make sure it stops when they answer. Send a test quote to your own email and approve it, to check the follow-ups stop. A customer who already said yes should never get a reminder.
- Change one thing at a time. Each month, look at which quotes were approved after a follow-up. If you change the wording or the timing, change one message at a time so you can tell what helped.
