Never miss a contractor call

Have an AI receptionist answer the calls you can't, send a text back when a call is missed, and set rules for after hours, so a caller gets an answer instead of voicemail. Here is how to set it up with phone tools we list.

Steps

  1. Decide which calls the AI should take. Pick one: every call, only the calls you don't pick up (overflow), or only after hours. Upfirst lets you choose any of these, and Rosie's pricing FAQ covers starting with after-hours and overflow calls only. Overflow is an easy way to start while you stay the first to answer.
  2. Teach it your business. Give the tool your services, service area, hours and the questions people always ask. Rosie trains from your Google profile and website. Write down what counts as an emergency and who should get those calls.
  3. Set up call forwarding. Forward unanswered or after-hours calls from your current number to the tool. Upfirst says you can forward all calls, only missed ones or only after-hours ones from your cell phone settings or your phone system. Test it from another phone before you rely on it.
  4. Send a text back when a call is missed. If a caller hangs up, a quick text gives them a reason to wait for you. Quo lists automatic replies to missed calls; Dialzara offers an AI SMS agent as a paid add-on. Keep the text short: who you are and when you'll call back, or a booking link.
  5. Let it book the job or take a clear message. Connect your calendar so the AI can book estimates directly: Upfirst books into your calendar, Rosie books appointments, Dialzara syncs with Google or Outlook calendar on plans above Business Lite, and Smith.ai offers AI scheduling. If you don't want it booking, have it take name, address, job type and urgency.
  6. Get every call summary where you work. Have summaries texted or emailed to you (Rosie and Upfirst both do this) or sent into your job software. Smith.ai lists native Jobber, Housecall Pro and ServiceTitan integrations; Quo lists Jobber and Housecall Pro syncing. Anything else can go through Zapier.
  7. Check the calls every week. Read a few transcripts or recordings each week, fix wrong answers in its instructions, and add questions it couldn't handle. Several of these tools offer a free trial, free plan or demo, so try one with your own number before paying.
