How to quote faster
Build a price list and a few quote templates once, quote from your phone while you are still at the job, offer two or three options, let the customer approve and sign online, and let follow-ups chase the quotes that go quiet. Here is how to set it up with quoting and estimating tools we list.
Steps
- Build your price list once. Put the services and materials you sell most into one list with your prices, so every quote pulls the same numbers instead of you retyping them. Housecall Pro lists a price book, Handoff lists custom pricing catalogs, and Estimate Rocket offers help loading your items and services. Update prices when your costs change, not quote by quote.
- Make a template for each common job. Save a ready-made quote for the jobs you do every week, with the line items, scope wording and terms already filled in, so a new quote is mostly done before you start. Jobber lists customizable quote templates, Estimate Rocket lists trade-specific estimating templates, and Knowify lists calculated cost templates on its higher plans.
- Quote from your phone at the job. Measure, take photos and build the quote before you leave the driveway, while the details are fresh. Joist lists line items and photos on documents from its Pro plan. Handoff lists voice transcription to estimate, so you can talk through the job and get a draft.
- Check every AI draft before it goes out. If a tool writes the first draft for you, like Handoff's AI-generated proposals or Joist's built-in AI tools, read every line, quantity and price before you send it. You are the one standing behind the number.
- Offer good, better and best options. Give the customer two or three choices on one quote instead of a single price, so they pick an option rather than say yes or no. Jobber lists optional line items on Grow and higher, Estimate Rocket lists optional add-ons, Handoff Pro lists up to 5 options per proposal, and Housecall Pro MAX lists side-by-side comparisons.
- Let the customer approve and sign online. Send the quote by text or email with a link they can approve right away. Jobber lists signature approvals and a client hub, Estimate Rocket lists e-signatures, and Knowify lists legally binding contracts. If you take a deposit, say so on the quote; our how to get paid faster page covers deposits.
- Turn on quote follow-ups. Let the software send a polite reminder when a quote sits unanswered, instead of trying to remember who to call. Jobber lists automated quote follow-ups from Connect, and Estimate Rocket lists automatic follow-ups. Read the reminder wording first; our email follow-up guide has more on timing.
- Turn the approved quote into the job and invoice. When the customer says yes, convert the quote so the same line items carry over to the job and invoice without retyping. Joist lists estimates to invoices. Connect your job software to your books so the numbers flow through (see the setup guides below), and once a month look at which templates win and which quotes stall.
