How to keep the books caught up
Connect your bank to accounting software, let it sort the routine transactions, snap receipts as you go, and set a short weekly slot to review what it could not match. Here is how to do it with bookkeeping tools we list.
Steps
- Connect your business bank and card accounts. Most of the typing goes away once transactions flow in on their own. QuickBooks Free connects 1 bank, Xero lists bank reconciliation on every plan, and Wave auto-imports bank transactions on Pro. Keep business and personal spending on separate accounts so the feed stays clean.
- Let the software sort the routine transactions. Turn on the automatic categorizing. QuickBooks says Simple Start learns how you categorize and then records matching transactions, Wave Pro lists auto-merge and categorize, and Xero includes auto-reconcile on Growing and Established. Check its first few weeks of choices so it learns your categories, not the wrong ones.
- Capture receipts the day you get them. Take a photo of each receipt or forward the email instead of keeping a shoebox. Xero lists Smart Document Capture on every plan, Zoho Books lists receipt and document autoscans (50 a month on Free), and Wave Pro includes unlimited receipt capture. Matching is much easier when the receipt is already there.
- Set a short weekly review slot. Put 15 to 30 minutes on your calendar each week to clear what the software could not match. This is the step that keeps you from falling months behind. A weekly slot is easier to keep than a big catch-up at tax time.
- Add an AI bookkeeper if the review keeps piling up. If you are on QuickBooks Online or Xero and still cannot keep up, Booke AI lists daily bank feed categorization, document matching and missing-document requests at $129 per business per month, and you review only the exceptions it flags. Docyt is built for hotels and quotes by property.
- Reconcile every month. Once a month, match each account to its bank statement so the balance in your software equals the bank. QuickBooks Plus lists reconciling your books, and Xero and Zoho Books list bank reconciliation. Books that are reconciled monthly are what your accountant needs at tax time.
- Give your accountant access instead of emailing files. QuickBooks paid plans let you invite your accountant for free, the Zoho Books Free plan includes 1 accountant user, and Wave lets you add users on Pro. Your bookkeeper or accountant should still check the books before tax time.
