How to stop double data entry between jobs and books
Pick one place where each record starts, connect your job software to QuickBooks Online or Xero with its own built-in integration, test it on a few records, and check the sync every week. Here is how to set it up with tools we list, using only connections we have verified on the vendors' own pages.
Steps
- Decide where each record starts. Pick one home for each kind of record: customers, jobs, quotes and invoices start in your job software, and the books, bills and bank matching live in QuickBooks Online or Xero. Write that down so nobody on the team creates the same customer in both places.
- Check that your plan includes the connection. Not every plan has the accounting sync. Jobber lists QuickBooks Online sync on select plans, and Housecall Pro says its QuickBooks Online app needs the Essentials or MAX plan. Check the plan before you count on it.
- Use the built-in integration first. Connect through the job software's own integration rather than a workaround. Jobber, Housecall Pro and ServiceM8 each have a QuickBooks Online integration, and the Xero App Store lists Jobber and ServiceM8. Our setup guides below walk through the QuickBooks Online ones step by step.
- Know which way the data flows. Most of these syncs go one way, from the job software into the books. Jobber's new QuickBooks Online integration and Housecall Pro's both send data from the job side to QuickBooks. So fix a customer or invoice in the job software, not in QuickBooks, or the two will drift apart.
- Clean up before you connect. Merge duplicate customers and match your service and product names in both systems before the first sync, so the same customer does not show up twice. Ask your bookkeeper which income accounts and tax settings to map items to.
- Test with a few records. Send one test customer, one invoice and one payment through, then open QuickBooks or Xero and check the names, amounts and tax look right before you turn the sync on for everything.
- Fill gaps with Zapier only where needed. If a tool has no built-in connection for something you need, our listings show which tools have an official Zapier app (for example QuickBooks Online, Xero and Jobber). Housecall Pro says Zapier access comes with its MAX plan. Zapier is a separate service with its own pricing, so check it before you build anything.
- Check the sync every week. Once a week, look for invoices or payments that did not come across and clear any sync errors the software shows. Have your bookkeeper or accountant review the books before tax time.
