How to schedule a crew

Put every job on one shared calendar, group your people into crews, assign by who is free and close, plan the route, and let the app tell your crew and your customer about changes. Here is how to set it up with field service and staff scheduling tools we list.

Steps

  1. Write down who works together. List your people, who usually works as a crew, who holds which skills or licenses, and which areas each one covers. This is what you will schedule from, so keep it current.
  2. Put every job on one shared calendar. Move jobs off the whiteboard and texts and into your job software, so the office and the field see the same schedule. Set repeat work, like weekly service, as a recurring job once instead of booking it by hand each time; Jobber, ServiceM8 and Markate list recurring jobs.
  3. Set up crews, then assign the job to the crew. If people work in teams, group them so one job goes to the whole crew at once. Jobber lists crew scheduling on its Plus plan. Workiz lists service areas per technician and multi-day jobs for bigger work.
  4. Assign by who is free, close and qualified. Use the calendar's availability view to pick the crew. Jobber (Find a Time), Workiz (Genius Scheduling) and ServiceM8 (Urgent Dispatch) list suggestions based on availability and location. Treat a suggestion as a starting point and check it yourself before you send it.
  5. Plan the route for each crew's day. Group nearby jobs and put them in order to cut drive time. Jobber lists routing, Housecall Pro lists Routes on Essentials and route optimization on MAX, and ServiceM8 lists Auto Routing.
  6. Send the schedule to their phones. Have each crew check the day's jobs, addresses and notes in the mobile app, not by group text. Jobber, ServiceM8 and Markate list automatic notifications when a job is assigned, moved or changed. Send an "on my way" text so the customer knows when the crew is coming; Jobber, Housecall Pro, ServiceM8 and Workiz list them.
  7. Reshuffle fast when the day changes. When a job runs long, it rains or someone calls in sick, drag the job to another crew or day and let the app tell everyone. Jobber, Workiz and Markate list drag-and-drop calendars, and Markate lists bulk rescheduling. Location maps in Jobber, Housecall Pro (Essentials), ServiceM8, Workiz and Markate show who is closest. Tell your crew before you turn on location tracking.
  8. Track hours and fix gaps each week. Have crews clock in and out in the app so hours match the schedule; Jobber lists crew time tracking by the team lead and ServiceM8 lists automatic time tracking. For hourly staff who work set shifts, like a shop, office or cleaning team, a shift tool like Homebase handles availability, time off and shift swaps. Look at the week's schedule once a week and fix the gaps before they repeat.
